What data we collect

When you use our contact form, we collect:

• First and last name
• Work email address
• Phone number (optional)
• Company name
• Service interest and message content

We may also collect technical data automatically, including IP address, browser type, pages visited, and time spent on site, through standard web server logs and analytics tools.

How we use your data

• To respond to your enquiry and provide the consultation you requested
• To send you information about our services where you have consented
• To improve our website and services
• To comply with legal obligations

Legal basis for processing

We process your data on the following lawful bases under UK GDPR:

• Legitimate interests — responding to your enquiry and managing our business relationship
• Consent — where you have explicitly opted in to marketing communications
• Legal obligation — where required by law

Training programme learners

If you register interest in or enrol on a RoundUp Tech training programme, we also process the following:

• Enrolment details: your name, email address, phone number, the programme you enrolled on and your agreement to our training terms. Legal basis: contract.
• Payments: card payments are processed by Stripe, which acts as an independent controller for payment data. We never see or store your full card number. We receive confirmation of payment, the amount and your billing contact details. Legal basis: contract and legal obligation.
• Live-session recordings: live sessions are recorded, which may capture your image, voice, name and anything you type in chat. Recordings are shared only with enrolled learners on the same cohort. You may keep your camera off and take part through chat. Legal basis: contract, and our legitimate interest in providing catch-up access.
• Learning records: attendance, submitted work and assessment outcomes, used to support your learning and decide whether a Certificate of Completion is awarded. Legal basis: contract.

Retention: session recordings are deleted three months after the programme ends. Learning records are kept for two years after the programme ends so we can verify certificates. Payment and enrolment records are kept for six years to meet tax and accounting requirements. Interest-list registrations are kept until the relevant programme starts, or until you ask us to remove you.

Data retention

We retain contact enquiry data for up to 3 years from your last interaction with us, after which it is securely deleted. You may request deletion at any time.

Sharing your data

We do not sell your personal data. We may share it with trusted third-party service providers who assist us in operating our business (such as email delivery services), under strict data processing agreements. These providers process data only on our instructions.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data ("right to be forgotten")
• Object to or restrict certain processing
• Data portability
• Withdraw consent at any time where processing is based on consent
